Minutes of the Regular Board Meeting
June 5, 2003

Meeting held at the home of Pam Holland, Westford, MA.

CALL TO ORDER:

Pam Holland, President, called the Regular Board Meeting to order at 8:00 p.m.

PRESENT:

Pam Holland, Debra Grad, Lynn Cohen, Chris Kandianis, Valerie Wormell, Karen McKenzie, Erica Davidson and Linda Newhard.

TREASURER'S REPORT:

Valerie Wormell made a motion, Karen McKenzie seconded and the Board unanimously agreed to make a $25.00 contribution to the library and conservation trust, and a $45.00 contribution to T.R.E.A.D. (Tax Relief for the Elderly and Disabled) .

Erica Davidson made a motion, Karen McKenzie seconded and the Board unanimously agreed to accept the Treasurer's report and authorize payments.

A discussion took place on membership rates for new League members. In order to be consistent throughout the year, it was suggested that a policy be drafted for Board's approval on how to handle new member rates and to communicate this clearly on the membership form.

Chris Kandianis made a suggestion that the League include in the summer Bulletin, as a way to inform our League members, an acknowledgement of our donation to the following: the library, Conservation Trust and T.R.E.A.D. (per the request of the Cameron Senior Center in lieu of paying an hourly rate for the use of their facilities). A discussion followed where concerns were raised that this may open us up to solicitation from other groups, and/or criticism from members for using League monies for something other than League work. It was noted that donations were included in the budget and voted on by membership at the Annual Meeting. It was decided that the Board wanted to go ahead and print an acknowledgment in the Bulletin. Debra Grad volunteered to draft something for the Board's approval.

MINUTES:

Karen McKenzie made a motion to accept the April Minutes, Chris Kandianis seconded, and the Board unanimously agreed.

The May, Annual Meeting Minutes, was not available to vote on to date. Janet Pride will forward said Minutes at a later time.

ADMINISTRATION:

Pam Holland handed out copies of the following League policies for review and discussion:

1) Total Board Responsibilities
2) Political Yet Nonpartisan
3) Board of Directors

Chris Kandianis offered to give Chris Chirokis a copy of the Membership Policies.

Pam Holland handed out a Draft League of Women Voters of Westford 2003/4004 Calendar. Discussion followed. Next Board meeting tentatively scheduled for: August 26 or 27th. Needs to be confirmed by the President.

PROGRAM/ACTION, VOTER SERVICE, MEMBERSHIP:

Discussion on the Fall Kick-off events took place. Suggestions on the following topics were discussed: Affordable Housing and a Women's Forum- How to Run for Office.

Karen McKenzie and Valerie Wormell to follow-up with the schools to check their calendars in an attempt to avoid scheduling conflicts for our Fall Kick-off event.

Chris Kandianis reported that the Link-up Meeting would be held at Ellen Harde's house on November 20, 2003.

Chris Kandianis reviewed participation information on Shaping the Future membership Drive. Discussion followed.

Linda Newhard made a motion to participate in the Shaping the Future membership drive, Karen McKenzie seconded, and the Board unanimously agreed.

WEBSITE:

Debra Grad voiced concerns that the web page is not currently being updated in a timely fashion. Discussion followed with a suggestion of getting an assistant for the Webmaster. Pam Holland to follow-up with Karen Cavanagh. All future information to be put on the website should go through Pam Holland and Karen McKenzie.

MISCELLANEOUS:

Juta Moter asked that the Board come up with a plan on how to keep the Archives updated. Lynn Cohen said she was willing to continue to help in this area.

Pam Holland said she would draft a letter to lobby for continued support of the Mock Elections.

Meeting adjourned at 10:00 p.m.
