Using
the Westford Web
calendar
system

If you are using a Westford
Web Club/Business calendar as part of your web site, here is some information
to help you manage the calendar.
Important Notes:
- Posting to more
than one date or calendar requires holding the CTRL key and using the
mouse click (PC) or the Apple key and mouse click (Mac) to select multiple
items from the menu. See details below for more information.
Posting to your calendar
You must be the calendar administrator
with a UserID and a password to post. By default, posting to the calendar
is disabled. To enable posting, click on the Admin Calendar link from
your web admin page or on the hidden admin link at the bottom of your
calendar. The hidden admin link is usually the name of your calendar at
the very bottom. Click on the date that you want to modify. Enter in your
admin UserID and password, along with the event information. You can add
links to events using the link input lines at the bottom of the event
entry page. Links and images must have the http:// prefix entered. Since
this is a database driven calendar, make sure all paths are the full web address.
For example, linking to a page in your space would be http://www.westford.com/yourspace/yourpage.htm
To add a reoccurring
event to multiple days, scroll through the date menu on the right side
of the Add Event page. When you see the additional date that you want
to list the event on, hold down the CTRL key and do a mouse click (PC)
or the Apple key and mouse click (Mac) on the date. The date should be
selected (turns blue). Repeat this for dates up to one year in advance.
If you do not hold the CTRL or Apple key down, only the date last clicked
will have the event listed and the multiple dates will not be selected.
Posting to The Westford Web Community
Calendar
If your calendar is enabled
to simultaneously post to The Westford Web calendar, scroll through the
calendar menu at the bottom right of the Add Event page. When you see
the Westford Web listing, hold down your CTRL key and mouse click (PC)
or the Apple key and mouse click (Mac) the line "Westford
Web". That line will turn blue to show you that it is selected. If
you scroll through the calendar menu, you organization calendar name should
also be highlighted in blue. Clicking the "Add Event" button
at the bottom of the page will post the event on both calendars. You will
see other calendars listed on the calendar menu, but you will not be able
to post to them unless you are authorized to do so. PLEASE
NOTE: Events that should be added to the Westford calendar
should be of community interest and open to the public. Events that
are internal to the organization should only be posted on the organizations
calendar, and not on the Westford calendar. The Westford Web Community
Calendar is used by town residents to check
for event conflicts between different groups in town.
Once an event is
posted to one calendar, it cannot be added to another calendar. Posting
to multiple calendars must be done at the same time. To add to a second
calendar after the initial post, you must delete then re-post to both
calendars. Or, you can simply add the item separately to the other calendar.
Deleting/Editing/Moving an Event
Deleting, editing
or moving a single event is pretty straight forward. If you post an event
for multiple days and then you wish to delete the event, you can either
delete/edit all entries by selecting all days that the event is posted
on, or only an entry for one day. If you have any trouble deleting, moving
or editing a multiple event posting, delete/edit each event individually
as a single day.
Simultaneous Calendar Posting Considerations
If you wish to post an event
to more than one calendar at a time, you must post to both calendars when
you originally post the event. You cannot post to another calendar by
using the edit function and selecting the new calendar. For the simultaneous
feature to work, events must be posted, edited and deleted to both/all
calendars at the same time. If this is not done, then the calendar linkage
is removed and the events will need to be edited separately on each calendar.
Note: If your UserID and password allows you to post to multiple calendars,
then you can individually post, edit and delete events to that calendar.
To do so, simply go to the calendar that you want to modify and follow
the standard admin procedure. All events added will be added in the data
base with your UserID. You will only be able to edit/delete events posted
with your UserID.
All information below concerns
the appearance of your calendar.
Configuration
The calendar must be configured
by the Westford Web admin. One of the options that can be set are the
colors. These are the colors for both text and page backgrounds. The HTML
codes are also listed to help you match your pages with the calendar colors.
A background image can be used.

- We can configure the calendar
to automatically display 7 days or 5 weekdays. 7 day display is the
default.
- The calendar can start
with Sunday or Monday as the first day. Default is Sunday.
- The Calendar can be set
to show only weekdays. Include weekends is the default.
- Weekends can be set as a separate
color.
- Time increments can be set
to 5, 10, 15, 20, 30, or 60 minute start times. 60 minutes starts on
the hour. Default is 30 minute start times.
- Time can be displayed in either
24 hour military time or standard AM PM time. Standard is default.
- The calendar search input
can be set to appear only on the top, only on the bottom, or both. Bottom
only is default.
- You can have icons, such as
a star or exclamation point, listed with each posting. Send us the graphics
that you would like to use and we'll install them for you.
- Font types and
sizes are adjustable. Available font types are Arial, Arial Black, Bookman
Old Style, Century Schoolbook, Comic Sans MS, Courier, Courier New,
Helvetica, Sans-serif, Times, Times New Roman, Verdana. Sizes range
from 8 point to 30 point. Default is Arial 11 point.
- The calendar can email
you whenever an item is posted. On by default.
- Summary or Detail. In
summary mode, only the event header will be displayed in the calendar
day, with details showing when you click on the date. Detail mode show
all info in the calendar day. Default is Heading mode.
Calendar Header & Footer Pages
The calendar has the ability
to append a header and footer HTML section using an include file. This
feature is enabled by default. In your space, you will see two files named
cal_??_head.htm and cal_??_foot.htm You can modify these pages with
standard HTML and they will show up above and below your calendar. As
you modify these files, keep in mind that these files are page includes,
therefore, do not use any HTML page definition tags, such as <html>
</html> <body> </body> <meta> <title> </title> You might
have to use a text editor, like Windows Wordpad, to edit these files.
If you do not want to use these files, remove all content from these files
and upload a blank file.
Images of the Months
You can change the images that
are used to display the months. Simply replace the image file in your
space with your new image file using the same name as the existing
image file. These files are case sensitive. If you do not see any "month"
